TruvioSense Coding & Approval for D365FO
SERVICES
Truvio commits to assisting the Customer in implementing the Software for one (1) company within one (1) of the Customer's environment by providing the following Implementation and Experience Services as set out in the Agreement.
Implementation
- Start-up Meeting
Truvio will schedule a Start-up meeting to align on project team, roles, scope, timelines and to introduce the implementation approach. - Technical Preparations
Truvio will provide guidance on necessary technical prerequisites and outline required actions to be performed by the Customer. - Activation
Truvio will activate the TruvioSense service for the Customer's environment, including required service configuration and initial setup. - Configuration
Truvio will configure the solution according to best practices and based on decisions made during the onboarding phase. This includes vendor-related setup and configuration required for Coding & Approval functionality. - AI Base Learning (Initial Training)
Truvio will perform initial AI training using a limited dataset (typically 3-5 vendors and max 50 documents per vendor) to establish an initial baseline for coding and approval behavior. The accuracy and performance of the solution will improve over time based on data quality and usage. - Super User Training
Truvio will conduct up to 2 remote training session(s) for designated super users, covering functionality, usage, and best practices for managing and optimizing the solution. - Baselining, Review & Suggested Improvements
Truvio will review initial outcome and provide recommendations for optimization and improved accuracy.
Experience
- Quality Assurance & Check-ins
Truvio will conduct follow-up sessions to monitor and validate. - Support Services
Truvio includes four (4) hours of support services, covering advisory and Go/No-Go assistance. Any additional support requested will be delivered on a Time & Material basis.
CUSTOMER RESPONSIBILITIES
The successful delivery of Services by Truvio relies on the active involvement of the Customer. Therefore, it is the Customer's responsibility to:
- Deployment & Technical Prerequisites
Ensure that ExFlow AP and all required systems are deployed and fully operational within the Customer's environment before the start-up meeting to prevent delays. The Customer shall ensure that all relevant software versions, dependencies, and technical prerequisites are met according to the product documentation to support the implementation of the TruvioSense solution. - Access & Environment
Provide Truvio with all necessary access to systems and environments required for the implementation. This includes ensuring that appropriate service accounts are configured and made available with sufficient permission to perform the required activities. - Subscription & Consent
Ensure that all required subscription consent and approval steps are completed in a timely manner to enable activation of the solution. - Project Management
Assign a project leader from within the Customer's organization responsible for but not limited to; allocating resources, managing work related to the implementation of the Software, and serving as the primary point of contact for all communication with Truvio and arranging a remote connection for Truvio to the Customer's environment. - Resources
Ensure that an adequate number of qualified personnel are available throughout the onboarding, training, and validation phases of the project to support timely delivery. - Data & Configuration
Ensure that vendor master data and invoice data are accurate, complete, and available for use during the implementation. The Customer shall also ensure that sufficient historical data is provided to support initial AI training and continuous improvement of the solution. - User Acceptance Testing
Conduct thorough User Acceptance Testing (UAT) to validate the functionality and performance of the Software, ensuring alignment with the specified requirements and objectives. Promptly inform Truvio of any defects found in the Software or its implementation during the Customer's acceptance testing.
